Overview

The process flow for PTO request in Veracross is as follows:

  1. Submit Request via Portal
  2. Approver is Notified
  3. Request Approved or Denied by Approver
  4. You are Notified
  5. Portal Reflects Accordingly

Steps

  1. Log into the Veracross Faculty and Staff Portal
  2. From the right side buttons, select Time Off Request under the Calendars, Schedules, Planner category. 
  3. The screen displayed will default to a New Request. Make sure to always follow the INSTRUCTIONS listed. 
  4. Complete the time of request form.
    • General
      • Reason for Request: Click the down arrow to display the list of options to select from. 
      • Who should review this request? The person who will review and approve your request. (All faculty requests are submitted to Jen Burkhalter). 
    • Time Off
      • Start Date: The start date of your leave
      • End Date: The end date of your leave. If it is only one day, you still need to enter the date. 
      • Time of Leave (in Hours):Time of Leave is measured in hours. 8.0 hours equals one full work day. 
    • Optional
      • These options are displayed but do not need to be completed if not necessary.
      • Leaving Early? and Arriving Late?: Is applicable if you will only be gone for part of either the first or last half of your leave. Check the appropriate box if necessary. 
      • Substitute Required?: By default this is checked as YES. If you are NOT Faculty needing a substitute, please UNCHECK this box. This box triggers the need for a substitute, to the Central Office. 
    • Notes

      • This section is optional and should be used for general notes only. NO personal information should be entered here.

  5. Submit Request. 


Notification emails

There are three emails the system will generate automatically. regarding time-off request process. 

  • Time Off Request Approved: Sent to you once you request has been approved.
  • Time Off Request Denied: Sent to you if you request has been denied. Your manager should have spoken with you before sending this email to inform you of the circumstances.  
  • Time Off Request Submitted: Sent to the request manager as specified in the “Who Should Review This Request?” field of the time-off request


View time-off balances  

  • Click View My Time Off Balances at the top of the request form. This will expand the option and display your totals to date. The Remaining column will not update till the day of the PTO request, it will however display in the Pending



Time off request history

  • To view your time off request history for the year, click on the Requests button at the top  right of the page. This will change the window to display all the PTO submissions you have made for the active school year.
