Before adding a new household or person to the system, there are many ways to check whether or not they already exist.  This is very important so that a duplicate isn’t created in the system.



Complete all of the following searches


  1. Search by last name in a Find People query by using “contains” rather than “begins with”


  1. Search by house # and street name, along with city 

    1. Do NOT use the street extension (Drive, Dr, Road, Rd, etc)

    2. If the house # and/or street has a direction (ex. N, W, South, East) use “contains” street name ONLY.


  1. Search by email address by using “begins with”.  You can just type in a partial email address.


  1. If none of the above find a person, complete steps 1&2 in a Find Households query.




If you need to add a new Household because NEITHER the household or people exist


  1. Go to the Main Homepage

  2. Click on “+Add” and choose “Add a Household”

  3. Enter family Name (this should be the last name of the Head of Household) and Address, if you have it

  4. Click on the green “Add Record” button

  5. Add name and email address for each person in the household; choose a head of household (if a couple lives in the same household, choose the male)

  6. Click the green “Add Household” button

  7. Next to each new person in the household, click the blue box with the arrow to go to their person record.

  8. Add any roles that are appropriate (parent of prospect, prospect, faculty, staff, etc.) to the record, along with any other information you have about that person. This should include birthday, relationships, current grade, year applying for, etc. 



If you have an existing household but need to add a person to that household


  1. Open the Household record

  2. Start with Step 4 in the previous section
