To create attendance for detention

  • Run the query "All Awaiting Outcome Behavior"

  • Click your cursor in the Student ID box of the first row (Do not click on the # itself)

  • Click Ctrl-shift-C, click Copy Data to Clipboard

  • Open the Group Event record for Detention Attendance

  • Go to the Recurrence tab, find the date of the next detention session, and pop out that record (box with arrow)  This is the group event for that date.

  • Go to the Event Attendance tab, click Add Record, then Ctrl-v to copy the names into the event. 

  • A box will pop up with the names.  Make sure the checkbox next to the first name is checked on; scroll down to the bottom of the list and hold down shift while you click the box of the last name.  This will turn on all of the names in the box.  Click Select xx People.  Click Update. NOTE: This only works for up to 100 people.  If there are more than 100, see the steps below to copy more than 100.

Special Note:  When you populate the event attendance on a particular date, the student sees detention on their VC calendar. In addition, an individual event is created in the student's record.  It tracks whether the student stays as invited that day or actually attends.  This might come in handy if you ever have a discrepancy you need to review.

To Take Attendance in Detention

  • Once the event is populated, send a copy of the URL to the detention moderators to use. Alternately, detention moderators can navigate to the recurrence for today.

  • Detention moderators will now use this Event Attendance tab to take attendance - changing any student who attended from "invited" to "attended" and in the "Tag" field, entering 30 or 60, depending on how many minutes a student served; then click Update.

To Update Detentions Served

  • Open the query Students who served 30 min, update the Related Group Event field to the Group Event ID of the detention day you are updating, run the query.

  • Click your cursor in the Student ID box of the first row (Do not click on the # itself)

  • Click Ctrl-shift-C, click Copy Data to Clipboard

  • Open the query All Awaiting Outcome Behavior. Click on the field STUDENT: Person ID, click ctrl-v to copy in the student ID's of the students who served 30 min.

  • Batch update the desired rows (sometimes this will be all of them, sometimes this will just be some of them because a student owed more than 30 min of detention)

  • Repeat these steps with the query Students who served 60 min

To Batch Copy More than 100 Names

  • If there are more than 100 names in the query All Awaiting Outcome Behavior, filter the query into pieces before copying the names. 

  • For example:

    • Run for students with names between Aa and Kz

    • Copy and paste those names into event attendance

    • Then run the query again for students with names between La and Zz, and repeat the copy and paste steps
