(These are also the steps to follow if a new enrolling student doesn’t see the registration fees to pay during enrollment.)
Scenario:
During student transfers it is possible that you will accept the student and the parent will complete the Online Enrollment all in the same day. However there is a overnight process that runs after a student has been accepted that adds the student to the proper group so Online Enrollment can be completed. If this process does not happen in between, the parent will not be able to pay the enrollment fee. (Below screen shot)
Procedure:
After you have accepted the transfer student, but before you have the parent complete the Online Enrollment you need to add the group to the student.
- On the student’s record, click on Enrollment History and open the enrollment record for the year the student is enrolling in (View Detail).
- From the lighting bolt (Action Menu), click Reset Contract Data. **Also run TESTING ONLY: Reset VCPay Registration Data, as an extra step, to avoid any issues. The users will have to enter there VC Pay information again on the contract, due to this.
- Go to Rocket Ship > System Home Page.
- Refresh Group Membership from lighting bolt (Action Menu). (this may take a minute to process, don't be alarmed)
- Now go to Rocket Ship > Reporting under General > click on Find Reports
- Select the Online Pay (YY-YY) report. (Example: Online Pay (20-21))
- From the left menu click Individuals tab. If we search we should not see the student listed yet.
- Click the green Update button, to run the process, this will add the student to the report.
- Now if we search we should see the student listed in the Individuals section. (This report is usually refreshed overnight and is used to pull in the appropriate registration fees based on the student criteria.)
- To double check the process is complete, you can go into the Enrolment History of the student > View Detail, and click on Amounts on the left menu. You should now see the Enrollment Registration Fee and Tuition Deposit listed.
- Now you can have the parent return to the enrollment form and complete the steps again.
**Note: If you are taking these steps because a parent didn’t see any registration fees to pay, the parent will now have to go back in, re-choose their payment plan, and re-sign the contract. This is because you reset the contract data.
