At this point in the course selection process, each teacher is responsible for the proper placement of his or her students in Veracross. Read the information below and then follow the steps provided to ensure your students are properly placed for the school year, in both core and elective classes.

General Information: Verifying and Editing Course Selections
CORE courses for returning students have been entered into VC. The default placement is the same level as this year: UCP this year → UCP next year.
Department Chairs have students’ course selection data for your department.
Teachers and students should discuss in class the possibility of moving up or down a level in a CORE course. If a move has been approved, the current teacher is responsible for moving the student to the appropriate level in VC.
For ELECTIVE courses, teachers of that elective along with the department chair are responsible for checking course prerequisites and for making any roster adjustments.
Detailed VC queries (for future rosters, and to determine prereq’s) can be requested of Sue Gille, or Marisue Lacher.
These requests should be made in early February, so the data is ready for the placement edits window of specified by Principals office.
In the window specified by the Principals office for verifying and editing CORE and ELECTIVE course placements. A blue “Create Course Requests” button will be visible in the faculty portal, for making any needed changes. All changes must be made in VC and placements verified by date specified by Principals office.
Any DROPPED courses require email notification to the counselor and student.
March is a blackout month for scheduling, during which all placements and course requests are frozen. Course sectioning and schedule building will commence. Accurate course enrollment numbers (stemming directly from teachers’ efforts in late February) are critical, as they impact faculty schedules and class balancing.
Steps for teachers: verifying and editing course placements
STEP ONE: Gather data (early February)
Gather general placement data for CORE courses from your Department Chair.
Gather any ELECTIVE course data (including prerequisites), or further data on core courses; see Sue Gille or Marisue Lacher to request a VC query.
STEP TWO: Review (early-mid February)
Review your students’ course selections, watching for level and prerequisite issues.
Correct placements require no action on your part
If any level changes are needed...
STEP THREE: Edit course placements (February)
Edit course placements in VC by
Moving a student up or down a level, or
Removing/dropping a student who does not qualify for an elective
Any dropped courses require email notification to the counselor and student.
Teacher edits are live in Veracross. In other words, the moment a teacher changes a student’s course request, that change is visible to counselors.
**Follow these instructions to edit placements in Veracross.
Veracross Instructions:
Editing a Student’s Course Placement
Click on the blue “Create course requests for students” button in the teacher portal
From the alphabetized drop-down menu, select the name of the student needing a change.
On the selected student’s screen, click “Remove Request” to delete the incorrect level. Do NOT use “Add alternate course.”
After the incorrect course is removed, click on the blue “Add Course Request” button and then follow arrowed prompts.
Select Subject - Choose your department name from the options listed.
Select Course - Choose the desired course (and level) by clicking the course title.
Do NOT edit “Priority,” “Term,” “Level,” or “Notes.” Clicking one of these boxes would create an error.
Click the box next to “Approved.” Do NOT choose “Recommended.”
Click the gray “Add Course Request” button.
Follow the steps 1 - 4 for each student whose level you need to change.
Veracross Instructions:
Dropping an Elective from a Student’s Schedule
Once you have verified that a student does not meet the prerequisites of an elective course, you should drop the course from the student’s schedule. Follow Steps 1, 2, and 3 on the preceding pages to drop a course. Do not add a course (as in step 4).
Note:
Removing an elective course from a student’s schedule will cause a “hole” in the student’s course load, which must be addressed by the counselor and student. Any dropped courses require email notification to the counselor and student.
