Processes for switching to new school year for course registration


 

First communicate the desired launch date of this process before the Christmas break with the appropriate staff (Registrar and Veracross Sys Admin), in order to provide plenty of time for the process to be completed. 


When ready to start entering course requests for the students for the following school year, the system must be updated in order to allow course request to be entered for students. Once changed, the Scheduler School Year parameter  removes all of the 20-21 course requests from the course request tab in axiom and also removes them from the course request system screen in the faculty portal.  


The following steps have to be completed:

  1. Submit to Veracross a request to have engineering update the flag that changes the default school year on course requests to the upcoming school year. They update the default value for the Course Request school year column.
  2. Update the system parameter controlling what year's course requests show both in the Portal and in Axiom. This should be set to the upcoming school year. 
  3. The re-enrollment process should have been started in the system to show what grade a student would be in next year, rather than their current grade
  4. The Registrar has to make sure all courses are correctly marked as "available for course requests"  for the following school year.
    1. The registrar completes the batch entering for core classes 
    2.  

 

Testing

Add two course requests for a student through the faculty portal:

  1. Login into a faculty portal account by impersonating a user.  (https://portals.veracross.com/USER@carmelhs.org)
  2. Click on the Course Request button on the right.
  3. Choose a student and add two courses.

Verify course request:

  1. From the main menu choose Find Students.
  2. Run the query to look for the student you choose to enter the two test classes for.
  3. From the left menu choose Course Request.

Run a Find Student Course Requests query for a student, and the new course requests that you added via the portal should NOT show up in the current school year:

  1. https://axiom.veracross.com/carmelhs/#/results/578684
  2. Enter the Student's name used for the test, in the Student field.
  3. Run Query.


Once the Course Request functionality is working on the faculty portals for the counselors, and the Registrar has given the approval, course requests can be considered available for the following school year.
