Scheduling process/parent perspective:
Assistant Principal provides all general communication with parents, typically via the weekly newsletter; view this week’s newsletter blurb for details. Once parents begin to reserve conference times, teachers will be able to view their own conference schedule in the VC faculty portal under the Parent-Teacher Conferences button.
Helpful for parent questions that come your way...
When a parent reserves conferences through VC, their conference schedule can then be viewed within the My Calendar tab (upper right of parent portal homepage). Each conference on Oct 15, listed by time, contains the teacher name and Zoom link. At the time of each conference, the parent will click on that specific zoom link, be brought into the virtual waiting room, and then allowed entry by the teacher at the appropriate time. This process will be shared by Jen B with parents on Oct 13, before conferences. Teachers do not have to confirm any conferences or send any emails/links to parents--all the information parents need will come from Jen B communications, or via the parent portal.

Email from Jen sent 10/1 regarding Zoom Meeting Links:
Classroom Teachers and Counselors,
In order for parents to connect with you via Zoom for their conferences on Oct 15, I need to collect from each of you a ZOOM MEETING LINK. This link will be shared with parents in Veracross once they reserve a conference time--this will all be done in the background for you.
Your Zoom meeting link must be shared with me via THIS FORM before 5pm tomorrow, 10/2.
Basic steps:
Sign in to Zoom.
Schedule a new meeting: October 15, 8:00am start, 9 hour duration. Include a waitroom, and any other preferred security settings. Parents will not need a passcode. You can edit the meeting settings later.
In the Topic field, provide a title with your last name, similar to "Conference with Mr. Rafferty."
Do NOT use your Personal Meeting ID; instead select the "generate automatically" option.
Save your meeting.
Copy the Invite Link and paste it into the form linked above. (Careful! Disregard the Meeting ID. I need the Meeting Link, which begins with https://)
I'm hoping that with so many Zoomer experts out there, this process will take less than 5 minutes. Here is a quick video tutorial. Please see a tech trainer for guidance if needed.
One more tip: keep your Oct 15 zoom meeting active within your Zoom account (i.e. do not delete the meeting). Your Oct 15 meeting, now connected to the meeting link, is what the parents will attend for conferences.
