The Move procedure did not bring forward the Entrance Exam (unless it was completed) because the Move procedure increases the GAF and YAF one year each. And when you increase the GAF to 10, the Entrance Exam checklist item only applies to grade 9, and therefore is not created. If the Entrance Exam was already completed, it brings it forward because it brings forward anything already completed so that you don't lose data.
You can choose either of these options when a candidate chose the wrong YAF. Copy procedure and
manually delete the YY-YY items, is the recommended procedure.
- If you choose to run Move, in order to get the Entrance Exam checklist item, you will have to:
- Change GAF back to the grade you want it to be
- Run the Re-sync Admission Candidacy procedure from the action menu
- Open the Registration Season Type for YY-YY and run the Refresh Candidate Checklists procedure
- The Copy procedure keeps the GAF and just adjusts the YAF, which is ideal in most of our scenarios, however, it keeps both checklist years because it is literally a "copy" so it assumes you want to keep the old and the new.
- If you choose to run Copy, you will have to:
- Manually delete the checklist items from YY-YY
Created this query, which shows any candidates that have both a YY-YY checklist and a YY-YY checklist. It is a good way to help you look at the data and decide what to do. Included current grade and age to help you see what the situation was. As you can see, this also points out some people who might not have a valid DOB, etc.
